3.1 Booking Amendments, Withdrawal & Cancellation Policy
Booking Amendments
Any request by the Client to amend, transfer, or modify the confirmed booking, including but not limited to changes to travel dates, expedition dates, or itinerary arrangements, must be submitted to the Organizer in writing.
The Organizer shall permit amendments requested within seven (7) calendar days of the original booking confirmation date without administrative charge, subject at all times to availability and the Organizer’s written approval.
Any amendment request submitted after the expiration of the initial seven (7) calendar day period shall, if accepted by the Organizer at its sole discretion, incur an amendment and administrative fee equal to twenty-five percent (25%) of the total original tour price.
The Client acknowledges and agrees that:
• all amendments remain subject to operational feasibility and availability;
• the Organizer is under no obligation to approve any requested amendment;
• any third-party costs, losses, penalties, or charges arising from an amendment, including but not limited to airfare, accommodation, permits, visas, transportation, or supplier-imposed fees, shall be borne exclusively by the Client and are non-refundable.

Cancellation by the Client
The Client may terminate the booking agreement by providing written notice of cancellation to the Organizer. The effective date of cancellation shall be the date upon which written notice is received by the Organizer.
The following cancellation terms shall apply:
• Cancellations requested more than eight (8) weeks, being fifty-six (56) calendar days, prior to the scheduled departure date shall incur a cancellation charge equal to fifty percent (50%) of the total booking value.
• Cancellations requested within eight (8) weeks of the scheduled departure date shall be deemed non-refundable, and the Organizer shall be entitled to retain one hundred percent (100%) of all monies paid.
Under no circumstances shall the Client be entitled to reimbursement for:
• unused portions of the expedition or itinerary;
• voluntary withdrawal after commencement of the expedition;
• failure to attend or join the expedition;
• late arrival;
• personal circumstances preventing participation.
All deposits, administrative charges, and third-party costs already incurred by the Organizer on behalf of the Client, including but not limited to flights, permits, visas, insurance, accommodation, or transport arrangements, are strictly non-refundable unless otherwise expressly stated in writing.
The Client acknowledges that the cancellation charges set out herein constitute a genuine pre-estimate of the losses likely to be incurred by the Organizer in the event of cancellation and are reasonable and proportionate in the circumstances.

3.2 Cancellation by the Organizer
The Organizer reserves the right to cancel, postpone, reschedule, modify, or terminate any expedition, itinerary, or travel arrangement at any time where such action is deemed necessary due to force majeure, operational requirements, safety considerations, insufficient participant numbers, governmental action, or any circumstance beyond the Organizer’s reasonable control.
In the event that the Organizer cancels the expedition for any reason, the Client shall be entitled to a full refund of all monies paid to the Organizer in respect of the affected booking.
For the purposes of these Terms and Conditions, “Force Majeure” shall include, but shall not be limited to:
• acts of God;
• war, armed conflict, terrorism, civil unrest, or political instability;
• natural disasters;
• pandemics, epidemics, or public health emergencies;
• adverse weather conditions;
• governmental restrictions, border closures, or travel advisories;
• industrial disputes;
• transportation disruption;
• safety or security risks affecting the destination or operation of the expedition.
The Organizer shall not be liable for any indirect, consequential, incidental, or additional costs incurred by the Client arising out of such cancellation, postponement, or modification, including but not limited to:
• personal travel arrangements;
• accommodation booked independently;
• insurance deductibles or excess payments;
• loss of earnings;
• exchange rate fluctuations;
• incidental expenses.
The Client expressly acknowledges and accepts that expedition and adventure travel may involve destinations and environments subject to rapidly changing political, environmental, and operational conditions, and agrees that the Organizer retains sole discretion to make any changes necessary in the interests of safety, legality, or operational integrity.
